Meeting cost guide
How to calculate the cost of a meeting
Put people with the same hourly cost in one group. We add the groups together and show the cost for the meeting length you choose.
Add groups of people
Enter a group name, how many people are in it, and the hourly cost for one person.
Choose the duration
Set the expected hours and minutes to calculate a planned meeting cost.
See the cost or time it live
Add extra costs only if needed. Read the planned total, or start the timer for a meeting happening now.
How we find the cost
Planned cost = sum of (people in each group × hourly cost per person) × meeting hours × (1 + extra-cost percentage ÷ 100). Leave extra costs at 0% when you only want the hourly amounts you entered.
Worked example
From participant costs to a repeat-meeting estimate
This example has four people at $50 per hour and two people at $80 per hour. A one-hour meeting is $360 before optional extra costs and $414 with 15% added.
| Part of the calculation | Math | Amount |
|---|---|---|
| First group | 4 × $50 per hour | $200 per hour |
| Second group | 2 × $80 per hour | $160 per hour |
| Hourly subtotal | $200 + $160 | $360 per hour |
| One-hour meeting | $360 × 1 hour | $360 |
| With 15% extra costs | $360 × 1.15 | $414 |
What the same meeting costs over a year
| How often it repeats | Meetings per year | Annual cost at $414 each |
|---|---|---|
| Weekly | 52 | $21,528 |
| Every two weeks | 26 | $10,764 |
| Monthly | 12 | $4,968 |
| Quarterly | 4 | $1,656 |
For another schedule, multiply the planned meeting cost by the number of meetings. This estimates time cost only; it does not decide whether a meeting is worthwhile or measure lost productivity.
Common questions
Meeting cost calculator FAQ
How is meeting cost calculated?
Multiply each group's people by its hourly cost, add those group totals, multiply by the meeting hours, then multiply by 1 plus the optional extra-cost percentage divided by 100.
What hourly cost should I enter?
Use the hourly pay, billing rate, or other hourly cost that makes sense for your meeting.
What are extra costs?
This optional percentage can represent benefits or other costs. Leave it blank if you do not need it.
Does the timer keep working in a background tab?
Yes. Elapsed time comes from the browser's clock rather than counted timer ticks, so returning to the page updates the time and cost.
Are meeting costs saved or uploaded?
Meeting details are never uploaded. Turn on Save on this device to keep them here, or download a backup file.
